Invoice reminders for cleaning services

Reminders for one-time cleans and weekly accounts

Cleaning businesses bill in two patterns that should not share one reminder. A one-time deep clean is a single invoice: the work happened, the amount is known, and the due date is a few days out. A weekly or biweekly account may be one invoice per visit or one invoice for the month. Pick the pattern you already use. InvoicePay does not force a subscription. Each invoice you enter gets its own due date and its own queue.

The awkward case is a repeat client who is still a client. You will be in their house or their office again. A stiff form letter feels worse than it does for a one-off job, and silence is how a $180 visit turns into three unpaid visits. A short note that names the invoice is enough.

Match the note to how you bill

How you billWhat to enter
One-time cleanOne invoice, the amount for that visit, and a due date a few days after the clean. The default schedule covers before, on, and after that date.
Per visit, ongoingOne invoice per visit. Record payment when that visit is paid so the next visit’s invoice is the only one still reminding.
Monthly accountOne invoice for the month’s visits, due on the day you already told them. Do not also send per-visit invoices for the same work.

If a client pays the last visit in cash or by a transfer you have not written down, record it before the next reminder date. The queue for that invoice stops. The following note will not ask for money you already have. That matters more for a weekly account than for a stranger, because they will notice the mistake.

What the message should say

Use the client’s name, the invoice number, the open amount, and the due date. If it helps them match the bill, add the service date in the invoice title, such as the week of the clean. You can edit the starting templates. A note before the due date can be the friendly nudge: the invoice amount is due on a date, and they can reply with questions. On the due date, ask if payment is already on the way. After the date, say it remains unpaid and ask them to pay or reply.

Do not recite every room you cleaned. Do not threaten to drop the account in the first reminder. If you are going to pause service, that is a separate decision you make yourself. The app sends the scheduled email once mail is connected, and it keeps the log. It does not cancel their future visits for you.

A week when several accounts slip

Open the overdue list instead of scrolling old texts. Aging shows current, 1–30, 31–60, and 60+ days. A weekly account that is 10 days past due is a different problem from a one-time clean that is 70 days past due. The first usually needs the note that was queued. The second may need a call. Partial payments get recorded against the invoice they belong to, and the next reminder uses what is left.

The default timing is 3 days before the due date, the due date, then 3, 7, and 14 days after. Shorten it if your one-time cleans are due on receipt. Lengthen the first gap if monthly accounts pay on a fixed day and you do not want a note the same week you finished the work.

The trial is 14 days with no card. Then $4.99 a month or $49.99 a year. Email reminders are included in the trial, up to 40 open invoices. Paid plans remove that cap and include SMS templates. A phone carrier is not connected, so texts stay in the reminder log. The same pattern is written up for contractors, handymen, and plumbers, and the schedule itself is on invoice reminders.

Questions

Should a weekly account get one invoice or one per visit?
Either works. Use one invoice per visit when you want each clean paid on its own, or one invoice for the month when that is how you bill. Each invoice keeps its own due date and reminders.
What if the client paid the last visit in cash?
Record that payment before the next reminder date. The queue for that invoice stops, and the next note will not ask for money you already have.
Can the note mention the next scheduled clean?
Yes. Edit the template and add the visit date in your own words. The starting templates name the invoice, the amount, and the due date.
