Invoice reminders
An invoice reminder is a short, specific note that an invoice is coming due or is already late. The useful ones name the invoice, the amount still open, and the due date. They do not apologize for asking, and they do not threaten a client you hope to work with again.
A schedule that does not depend on your memory
Most late invoices are not a dispute. The client meant to pay and then the week got away from them. A schedule sends the note whether or not you remembered.
- A few days before the due date, so the invoice is still in the pile they intend to pay.
- On the due date, while it is still a current bill and not an awkward overdue conversation.
- A few days after, then a week, then two weeks, if it is still open.
Stop the series when you record a payment. Sending another reminder after the money has landed is how a polite system starts to feel careless.
What to put in the message
Use the client’s name, the invoice number, the amount still due, and the original due date. Offer one plain way to reply if something is wrong with the bill. Leave the late-fee speech out of the first two notes. A final notice can be firmer, and it should still say what is owed and that you are willing to look at the invoice with them.
InvoicePay stores those messages as templates and queues them from the due date you enter. Email is included in the trial. SMS is included once you subscribe at $4.99 a month or $49.99 a year. The 14-day trial does not need a card.
